What Does a Director Do?

As a member of the Board of Directors, you'll work collaboratively with fellow Directors to:

  • Oversee the management and administration of our 306-unit community
  • Review and approve annual budgets and financial statements
  • Maintain and strengthen our healthy reserve fund
  • Develop policies that enhance the quality of life for all residents
  • Ensure fair and consistent enforcement of Bylaws
  • Select and work with professional service providers
  • Make decisions that protect and enhance property values

Democratic Process of Board Decisions

At South Pointe Condos, governance is a collaborative and democratic process. No single Director, regardless of title, makes decisions unilaterally. Every Director has an equal voice, and all significant decisions are made collectively through proper Board resolutions.

Formal MotionsImportant decisions are documented as formal motions, ensuring transparency and accountability

Conflict of InterestDirectors must declare any personal interest in a matter and abstain from voting where conflicts exist
Recorded MinutesAll decisions are documented in meeting minutes, creating a permanent record for transparency

Opportunity to Focus on Special Areas

While all Directors share responsibility for overall governance, there are opportunities to take a lead role in specific areas that match your interests, skills, or professional background. Directors often volunteer to champion particular portfolios, allowing you to make a meaningful impact in areas you're passionate about.

Large Projects & Capital Planning

Oversee major repairs, reserve fund studies, and long-term capital projects such as roof replacements, parkade maintenance, and building envelope work

Security

Monitor security concerns, liaise with security providers, review CCTV policies, and help ensure the safety of our community

Fire Safety

Coordinate fire safety inspections, ensure compliance with fire codes, and promote fire prevention awareness among residents

Bicycles & Storage

Manage bicycle registration, storage allocation, and policies related to bicycle rooms and outdoor storage areas

Parking Control

Oversee visitor parking enforcement, parking stall assignments, and policies related to underground and surface parking

Volunteer Coordinator

Recruit and coordinate volunteers for community initiatives, the Move Monitor Programme, and special events

Communications

Help develop newsletters, website content, and resident communications to keep Owners and Tenants informed

Landscaping & Grounds

Liaise with landscaping contractors and provide input on grounds maintenance, gardens, and outdoor common areas

Bylaw Enforcement

Support fair and consistent enforcement of Bylaws and work with Property Management on compliance matters

These roles are flexible and evolve based on the interests of current Directors and the needs of the community. If you have expertise or passion in an area not listed above, we'd love to hear your ideas!

What We're Looking For

You don't need professional property management experience to be an effective Director. We welcome Owners who bring:

  • A genuine interest in the well-being of our community
  • A willingness to learn about condominium governance
  • The ability to work respectfully with others, even when opinions differ
  • A few hours each month to prepare for and attend Board meetings
  • Fresh perspectives and diverse life experiences

Who Can Be a Director?

Serving on the Board of Directors is open to a broad range of individuals connected to our community. According to Bylaw 7(a) of South Pointe Condos (SPC):

“The Board shall consist of not less than three (3) nor more than nine (9) Owners, Spouses of Owners, representatives of corporate Owners, or representatives of mortgagees who have notified their interests to the Corporation…”

In addition, Bylaw 7 specifies that:

  • A Board member must be eighteen (18) years of age or older (Bylaw 7(b))
  • Only one Owner or their Spouse per Unit may sit on the Board at any one time (Bylaw 7(c))
  • No Owner who is indebted to the Corporation for more than sixty (60) days shall be eligible for election (Bylaw 7(h))
